Minutes of the Pailton Village Hall Trust Committee

28 January 2008

Present: Joanna, Julie, Maria, Lesley and Helen

Apologies: Tony

Minutes of the last meeting were read and approved.

Health and Safety

The batteries in the smoke detector need to be replaced. Julie will buy and replace the batteries.

Maintenance

There is nothing at the moment that requires urgent attention.

Events

Lesley reported that Mike Allen from Rugby theatre is unable to do the War Time Music Hall evening until the autumn. This, therefore, will most likely, be our first event next season.

In the meantime, Maria will make enquires about a barn dance and it is hoped that a classical musical evening can be organised for the spring, with a disco in July.

Helen reported that she had received an invite to this year’s Live and Local Promoters’ evening. Helen will attend with Maria on the 25th February.

Helen reported that she had received information about a cinema evening, but the cost is £250. It was decided by the committee that this was too expensive.

Finance

There was no financial report available as Tony was not present. Julie presented Helen with some cheques, £50 from the Alpha Group, £20 from the Friendship Group and £40 from Keep Fit. Helen will pass these on to Tony.

Bookings

Pailton Young Farmers have enquired about hiring the hall on Wednesdays, Julie will contact them.

Rugby Borough Council has booked the hall for May 1st for local elections.

Playing Field

There were concerns expressed about comments in Round the Revel about a mess in the playing field. A member of the committee has inspected the playing field and could only find the graffiti with difficulty and a small amount of dog mess. A question will asked at the next Parish Council meeting about the article. Otherwise, the field is looking very good now that all the work has been completed. It was stated that the Parish Council are looking at providing a tarmac path from the Coventry Road to the bridleway.

Joanna has obtained a quote for replacing the swing seats and for shortening the swing chains. She will obtain a second quote in time for the next meeting.

Grants and Donations

None.

A.O.B.

Julie reported the Hall cleaner is ill at the moment. Julie will enquire as to how long she is likely to be off and report back at the next meeting.

A couple of villagers have enquired about hiring the hall for table tennis and badminton. Julie’s husband will look into the legalities of this and will report back at the next meeting.

A villager has enquired about the Hall’s piano. Helen reported that some of the keys were broken and that it was probably too expensive to repair.

The committee has decided to charge £10 for the hire of chairs and tables plus any donation the hirer would like to make. This will help the committee replace the tables and chairs that have gone missing over the past couple years.

The playgroup have asked if they can paint the external wall at the rear of the hall. The committee decided that this would cheer up the area and that it could be easily repainted in future years.

Date of next meeting

Monday 10th March 8pm in the village hall.
