Minutes of the Pailton Village Hall Trust Committee

Health and Safety

Hickie

The posters are up and the tickets are in the shop.

Barn Dance

Maria confirmed that the Barn Dance will be held on Friday 11th May at 8pm. The committee felt that for this event ‘hot dogs’ would be more in keeping than cheese and biscuits. Gill to speak to Malt Kiln Farm about lending us a couple of bales of straw.

Maria to organise posters and put an advert in Round the Revel. Helen to organise the tickets.

Circus Tent

Helen reported that she had heard nothing from Live and Local, but would be attending the promoters event on 12th March so will make enquiries whilst there.

Youth Club

As Zoë was not present, Maria will email her about obtaining the questionnaires.

Finance

Tony reported that he was switching the gas and electricity suppliers from British Gas and Powergen to Scottish Power, the result being a saving for the hall.

He also reported that we made a profit from the Old Time Music Hall event in held on 27th January.

The bill for the Public Liability Insurance for the next financial next year will be £100. The insurance company has informed us that if we hire out the hall for anything other than a committee organised event then we must pay hirers insurance, this again will cost £100 per annum. Julie will ask the playgroup if they have their own insurance cover.

Several cheques from hirers of the hall were handed to Tony and two cheques were required for Helen to cover the Lotteries Licence and the temporary events licence for Hickie.

Bookings

Philip Morris-Jones has booked the Hall for the EDP meeting to be held on 26th March 2007.

Claire Pafrey has booked the hall for 4th May for a private event.

Playing Field

Joanna reported that the trapeze bars have now been replaced on the new piece of playing field equipment but had observed that some bungs were missing. Gill will speak to Wickstead about this. Maria thanked Joanna for all her hard work in obtaining this equipment and thanked her and Jo Drew for putting down the new bark under the swings.

Gill reported that she had now received the Hags spare part. Tony will replace the part.

AGM

This year’s AGM will be held on Monday 21st May 2007 at 8pm in the Village Hall.

Grants and Donations

Joanna reported that the end of grant report for £5,000 from Awards for All, has now being fully completed. She will arrange the end of grant inspection visit for the Local Networks Heart of England (£7,000) to examine the new play equipment.

Joanna is looking at what other grants might be available to us for the safety matting under swings.

Correspondence

Maria reported that she had received an e mail from Zoë Baxter, stating that due to personal commitments she wishes to suspend her membership on the Village Hall Committee, but is still happy to out. Maria thanked Zoë for her work on the committee.

AOB

Maria informed the committee that due to her other commitments, she was considering standing down at the AGM.
