Minutes of the Pailton Village Hall Trust Committee held on 22nd May 2006

Minutes of the last meeting read and agreed.


AGM

The meeting was well attended. Matters arising from the AGM are covered in this meeting’s agenda.

Playgroup

Gill reported that she had spoken to the playgroup committee. They have a grant of a few hundred pounds to spend on the playgroup. They would like to spend this money on the area behind the Village Hall. They would like to the have the slabs relayed, some bark putting down at the bottom of the steps and a high gate making for the top of the steps. The committee decided to organise a working party on 22nd July to carry out this work. It is hoped that if we get enough volunteers then they could be organised into small groups and do a couple of hours each. Helen to ask Sharon in the shop if she knows anyone who would volunteer to re-lay the slabs or make a gate.

Open Gardens

The Village Trust are organising a treasure hunt for children at the open gardens, with small prizes for those completing all the clues. It was decided to make up 75 prizes.

Cleaner

Gill’s cleaner has agreed to clean the Village Hall. To start with she will clean the hall for 1 hour every other Thursday. A comments book to be placed in the hall for groups to comment on the state they find the hall. Gill will order the cleaning materials from Sharon.

Weight Training

Maria reported that this group no longer uses the hall. The committee asked Helen to write to Alan re the removal of the equipment before the Open Gardens.

Finance

Three cheques were required for payment of 2 lots of cement for the goal post and items for the re-dedication memorial. Patricia asked that as the Village Trust Committee was a charity, did they receive Gift Aid? Tony reported that they didn’t at present but would look into it. Helen to ask the Parish Council about the annual grant they give to the hall committee. Tony informed the committee that he would be unable to attend the Fête this year, he will speak to Gary about organising the money on the day.

Bookings

Maria reported she had received a booking from a Sing and Sign Baby Group. They will hire the hall weekly, day and time to be arranged.

Playing Field

Parish Council have agreed to have the playing field grass included in the general village grass cutting programme.

Insurance

The playing field is insured, but if we have a bouncy castle at the fête, that will incur an extra fee.

Recruitment

Three villagers joined the committee at the AGM, Zoë, Julie and Patricia, they were all given a warm welcome.

Grants and Donations

The third application has now been submitted and we should hear in June if application has been successful.

Live and Local

Applications have been submitted, L&L should be able to confirm acts in June.

Lotteries Licence

Helen handed Tony the Lotteries Licence received from Rugby Borough Council to cover raffles in the Village Hall.
