Present: Joanna, Tony, Patricia, Gill and Helen
Apologies: Maria and Zoe
Minutes of the last meeting read and agreed.
The monkey bars on the new playing field equipment have still not been replaced. Joanna will chase this up with Les Pace at Wickstead.
Helen will carry out the fire audit before The Old Time Music Hall event. The portable electrical equipment has now been PAT tested.
Helen reported that Maria has obtained a new first aid box for the hall. A check on this box will be conducted at the same time as the fire audits.
Set up – Patricia, Zoe and Julie
Drinks and Food – Tony
Front Door – Helen
Bar – Maria
Raffle – Joanna
Helen to speak to Kris from Hickie to see whether they have any publicity material that we could use to advertise this event and Helen will organise the tickets.
Helen reported that she had not heard anymore from Live & Local about the Circus Tent event.
Patricia reported that Zoe had only received 6 questionnaires back from the survey for a youth club. With such a poor response it was decided not to go ahead with the youth club at this time, but will re-visit this on a regular basis. Patricia will obtain the names of those who replied to the questionnaire and send them a written response and a thank you from the committee for their time.
Tony reported that we made a profit from the Live & Local event in December.
Tony also reported on the bank accounts and stated that some cheques had still to arrive.
The hall has been booked for Tuesday 20th February between 2.45 and 3.15 for the renewal of bus passes. Helen will pass this information to John for inclusion on the village web site.
The Parish Council has very kindly agreed to fund the playing field inspection fee. Jo, the Parish Council clerk will organise the inspection.
A discussion took place about the bark under the swings. To comply with Health & Safety regulations, Gill will order the play bark immediately to replenish what is already there, whilst the committee look at obtaining a grant to have a proper play safety floor put in under the swings.
Gill reported that she has ordered the replacement part for the Hags equipment.
Joanna reported that she is now the process of completing the end of grant reports. For one of the grant reports she requires a photograph of the play equipment (Helen was able to supply one at the meeting), for the other, a scrap book is required and an inspection visit from the grant providers. Helen will put together the scrap book. Gill and Julie will ask the playgroup if they can help with children’s comments and pictures. Joanna will organise the inspection when the monkey bars have been replaced.
Gill thanked Joanna for all her hard work.
Helen reported that she was in possession of an event licence for the Old Time Music and that she had completed the paper work for the lotteries licence.
Helen will apply for an events licence for Hickie.
Helen has received two letters from Live & Local. The first asking for an alternative address for leaflets to be delivered to, if Helen is not at home. Helen will ask Sharon in the shop if she would accept these. The second inviting the committee to a promoters evening, in order to give feedback on last year’s events and to preview this year’s selection. Helen will complete the form and return it.
Zoe has submitted the form to the Prince’s Trust for them to carry out the ground work at the rear of the hall.
